Team and security
Staff files
Documents with expiry reminders, employment and pay details, holiday allowance, emergency contacts and private notes.
The tabs
Profile, Access, Working hours (for people who take bookings), Documents, Employment (including Holiday), Emergency contact and Private notes. Opening someone else’s staff file needs the Team and permissions permission. People see their own file from My account, without the Profile, Access and Private notes tabs.
Documents
Right to work, insurance, qualifications, certificates, contracts and more, encrypted. Tap Add document. Add an expiry date (optional) and Pulosa flags it 30 days before, on the team list too, and a note if you like (a certificate number, say). Tap Edit on any document, including ones a new starter sent with their form, to change its name, type, expiry date or note. Show to (their name) decides whether they can see it in their own staff file: switch it off for anything only managers should see, and it’s marked Hidden from them in the list. Notes are never shown to them.
Employment and holiday
Employee details (their full name comes from Profile), Gender (for payroll: HMRC needs it, as on their HMRC record), contract type, working pattern, dates, hours, pay, workplace pension, bank details and National Insurance number. Workplace pension: Enrolled, Opted out or Not eligible; for enrolled people, what they pay in and what the business pays in (or tick The business matches what they pay in), on qualifying earnings or all their pay. Cost to the business a month shows their pay plus employer National Insurance and pension; it’s what Finances uses for team pay. Holiday: their allowance (with the legal minimum shown), when their holiday year starts, and whether bank holidays are part of it or on top.
