Text message reminders

Appointment reminders (and, if you like, confirmations, changes and cancellations) texted to clients’ mobiles, with free texts every month and credits you can buy.

1. Choose which texts go. Reminders are on to start with.

What clients get

Admin → Website & messages → Client messages → Texts. Make sure Text clients is on (off: no texts are sent, emails still go as usual), then switch on the texts you want: Appointment reminder (on to start with, sent at the same time as the reminder email: change how long before in Admin → Website & messages → Client messages → Emails, under Appointment reminder; the Texts page shows the current timing), Booking confirmation, Appointment changed and Cancellation. Each one is a single text of up to 160 characters with the service, date and time. When clients can change or cancel online (Admin → Business → Profile, under Bookings), reminders, confirmations and changed-appointment texts end with a short link to their appointment instead of your phone number; cancellation texts give your phone number. Health information is never included. The preview shows exactly what clients will see. Tap Save when you’re done, or Undo changes.

New client links

New client links (on to start with): when you add a client with Clients → New client → Send a link and give their mobile, the link to fill in their details goes by text as well as email (or by text alone, with no email). The preview shows the text, which always fits in one text with the whole link. Switch it off and Send a link has no option to text: the mobile is just saved on their profile. Each text uses one of your texts.

Who gets them

Clients with a UK mobile number (07…): the one on their client record, or the one they give when booking online. Texts go with the emails, so they follow the same rules: cancel or move an appointment and its reminder text is stopped or moved too. Texts only go for clients who also have an email address on their record.

Sent from

Texts show your business name as the sender (up to 11 letters, for example HarleyAesth), or a name you type in Sent from. Clients can’t reply to a name, so each text gives your phone number from Admin → Business → Profile, or their change-or-cancel link.

Free texts and credits

Your plan includes free texts each month: the Texts page says how many and how many are left, and Admin → Business → Billing compares what each plan includes. After that, texts come out of credits. Buy credits on the same page: choose how many packs, tap Buy (for example Buy 200 texts) and pay by card. Without the Billing permission, it asks you to get someone who looks after billing to buy them. They’re added straight away, never expire, and the invoice is in Admin → Business → Billing. When both run out, texts stop and emails carry on. Buying credits needs the Billing permission. Clearing the sent log doesn’t give texts back: texts already sent still count.

Checking what was sent

Right after booking at the desk, the Booked screen shows which texts the client gets, or why not. Later, the sent log (Admin → Website & messages → Client messages → Sent log) shows Text sent next to each email whose text went, or Text not sent with a plain reason, for example No text credits left or The mobile number wasn’t accepted.

Good to know

  • Reminder texts cut no-shows more than emails alone: most people read a text within minutes.
  • There’s a daily limit on texts per business to keep costs safe.
